    Job Title: admin assistant

    Reporting to: Country Representative

    Essential Duties and Responsibilities Answer and direct phone calls

    • Organize and schedule meetings and appointments
    • Maintain contact lists
    • Produce and distribute correspondence memos, letters, faxes and forms
    • Assist in the preparation of regularly scheduled reports
    • Develop and maintain a filing system
    • Order office supplies
    • Book travel arrangements in coordination with Finance and office representative.
    • Submit and reconcile expense reports when required
    • Provide general support to visitors
    • Provide information by answering questions and requests
    • Take dictation
    • Research and creates presentations
    • Generate reports when resisted.
    • Handle multiple projects
    • Prepare and monitor invoices in coordination with finance.
    • Develop administrative staff by providing information, educational opportunities and experiential growth opportunities
    • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
    • Contribute to team effort by accomplishing related results as needed
    • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
    • Organize travel arrangements for international staff from HQ.
    • Write letters and emails on behalf of other office staff
    • Book conference calls, rooms, taxis, couriers, hotels etc.
    • Cover the reception desk when required
    • Maintain computer and manual filing systems
    • Handle sensitive information in a confidential manner
    • Take accurate minutes of meetings
    • Coordinate office procedures
    • Reply to email, telephone or face to face enquiries
    • Develop and update administrative systems to make them more efficient
    • Resolve administrative problems
    • Receive, sort and distribute the mail
    • Answer telephone calls and pass them on
    • Manage staff appointments
    • Maintain up-to-date employee holiday records
    • Coordinate repairs to office equipment
    • Greet and assist visitors to the office
    • Photocopy and print out documents on behalf of other colleague

    • Minimum Requirements:
    • A university degree in accounting is required.
    • Minimum of 2 years successful experience in the humanitarian field.
    • Good Computer skills (PowerPoint, Word, particularly Excel).
    • Able to communicate verbally and written in English and Arabic.
    • Punctuality and respect for rules and procedures.
    • Able to work independently, with minimal supervision and well under pressure.
    • Must be able to maintain highest level of confidentiality regarding work-related information and data.

    • Duty Station:

    The position will be based in Beirut, 80% in the office and 20% in the field.

    Job Title: Finance Officer

    Reporting to: Country Representative – Finance Coordinator/ Manager with support from the regional Head of Finance – ME

    • About Human Appeal:

    Human Appeal – Lebanon office is a humanitarian, non-governmental and non-profit organization, located in Beirut.

    • Essential Duties and Responsibilities:
    1. Make and record all payments out of cash, recording all programme advances issued and returned.
    2. Review of Purchase Order, Advance Request, Expense Reports and Payment Requests.
    3. Enter cash or bank sub-journals (general journals).
    4. Handle cash and make the monthly cash counts.
    5. Help consolidate the necessary document for the month end accounting close process, including preparing Journal entries for prepaid accounts and other journal entries.
    6. Review all documents submitted for payment to ensure proper procedures have been followed
    7. Assist with the maintenance of all accounting records, ensuring that records are complete, accurate and safeguarded
    8. Archive the monthly sub journals vouchers.
    9. Assist in verifying vouchers for the voucher program and maintaining proper filing system
    10. Help with the preparation of the award Budget Pipelines, Budget vs. Actual reports, and Cash Flow Projection.
    11. Help with the maintenance of the Country Support Budget and estimation of support costs.
    12. Liaise with the Human Resources department to maintain the Staff List and monthly payroll.
    13. Liaise with the Programmes department to update contract trackers, reconcile invoices and delivery records, and comply with cost allocation guidelines.
    14. Any other duties assigned by the Finance Coordinator/ Manager or the Regional Head of Finance
    • Minimum Requirements:
    • A university degree in accounting is required.
    • Minimum of 2 years successful of general ledger accounting experience in the humanitarian field.
    • Demonstrated competency with computerized general ledger software.
    • Good Computer skills (PowerPoint, Word, particularly Excel).
    • Able to communicate verbally and written in English and Arabic.
    • Punctuality and respect for rules and procedures.
    • Able to work independently, with minimal supervision and well under pressure.
    • Must be able to maintain highest level of confidentiality regarding work-related information and data.
